We encourage each trip to be pre-booked in advance. A full payment is required on booking confirmation in order to secure the vehicle, driver and schedule.
1. Definitions
"Major Travel SA", "we", "us" and "our" refer to Major Travel SA, a booking agency operating in Cape Town, Western Cape, South Africa. "Client", "you" and "your" refer to the person making the booking and/or the passengers travelling. "Service" refers to any private transfer, safari transfer, day excursion or related travel arrangement booked through Major Travel SA.
2. Bookings & Confirmation
- All trips should be pre-booked in advance to guarantee vehicle and driver availability.
- Bookings are only confirmed once we have issued a written booking confirmation (email or WhatsApp) and full payment has been received.
- It is the Client's responsibility to ensure that all booking details — names, dates, times, flight numbers, pickup and drop-off addresses and passenger counts — are correct at the time of confirmation.
- Any changes requested after confirmation are subject to availability and may incur additional charges.
3. Payment
- Full payment is required on booking confirmation, unless a written alternative arrangement has been agreed in advance.
- Accepted payment methods include EFT (electronic funds transfer) in ZAR and any other method confirmed in writing by Major Travel SA.
- All quoted prices are in South African Rand (ZAR) and remain valid for 7 days from date of quote, unless otherwise stated.
- Bank charges, currency conversion fees and online payment fees are for the Client's account.
- The Client is responsible for any costs not expressly included in the booking confirmation, including park entry fees, meals, gratuities and personal expenses, unless stated otherwise.
4. Cancellation & Refunds
Cancellations must be made in writing (email or WhatsApp) and are subject to the following charges, calculated on the total trip value:
- More than 14 days prior to travel: full refund, less a 10% administration fee.
- 7–14 days prior to travel: 50% cancellation fee.
- 3–6 days prior to travel: 75% cancellation fee.
- Less than 72 hours prior to travel, no-shows or same-day cancellations: 100% cancellation fee.
Refunds, where applicable, will be processed within 14 working days to the original payment account. Major Travel SA is not liable for refunds where cancellation is due to events beyond our control (see "Force Majeure" below).
5. Changes by the Client
Date, time or itinerary changes requested after confirmation are subject to availability. We will always make a reasonable effort to accommodate changes, but additional charges may apply, particularly within 72 hours of the scheduled pickup.
6. Waiting Time, Delays & Flight Monitoring
- Airport pickups include 60 minutes of complimentary waiting time from the scheduled flight landing time. All other pickups include 15 minutes of complimentary waiting time.
- Additional waiting time will be charged at our prevailing hourly rate.
- Clients must provide accurate and up-to-date flight numbers. Major Travel SA is not liable for missed pickups resulting from incorrect flight information.
7. Vehicles & Drivers
- All vehicles are licensed for the carriage of fare-paying passengers and operate in accordance with applicable South African transport regulations.
- Major Travel SA reserves the right to substitute a vehicle of equivalent or higher standard should the originally allocated vehicle be unavailable.
- Our drivers are professional transfer drivers. They are not registered Tourist Guides as defined by the South African Tourism Act and will not provide formal guided commentary or interpretation of attractions.
- Drivers may make regular comfort stops on longer journeys for the safety and well-being of passengers.
8. Passenger Conduct & Safety
- Seatbelts must be worn at all times where fitted, in line with South African road traffic law.
- Smoking, vaping and the consumption of alcohol are not permitted in the vehicle unless agreed in writing.
- The driver may refuse to carry any passenger who, in his reasonable opinion, is intoxicated, abusive or poses a safety risk to themselves, other passengers or the vehicle. No refund will be due in such cases.
- The Client will be liable for any damage caused to the vehicle by passengers, including but not limited to soiling, breakage and excessive cleaning costs.
9. Luggage
- Standard luggage allowance is one suitcase and one piece of hand luggage per passenger. Additional or oversized items must be declared at the time of booking.
- For group transfers, a complimentary luggage buggy is provided where indicated.
- Luggage is carried at the owner's risk. Clients are advised to maintain their own travel insurance covering personal belongings.
10. Children & Child Seats
In accordance with the South African National Road Traffic Act, children under three (3) years of age must travel in an appropriate child restraint. Please advise us at the time of booking if child seats are required so that we can make suitable arrangements.
11. Insurance
All vehicles carry the legally required passenger liability insurance. This insurance does not cover personal injury, illness, loss of income or loss of personal belongings. Clients are strongly advised to arrange comprehensive travel insurance prior to their trip.
12. Force Majeure
Major Travel SA shall not be liable for any failure or delay in the performance of services caused by events beyond our reasonable control, including but not limited to acts of God, severe weather, fire, flood, load-shedding, road closures, accidents, civil unrest, strike action, pandemics, government action or third-party service failure. In such circumstances we will make every reasonable effort to provide a suitable alternative, but refunds are not guaranteed.
13. Third-Party Services
Where Major Travel SA arranges services provided by third parties (such as game reserves, wineries, whale-watching or shark-cage-diving operators, hotels or activity providers), we act solely as a booking agent. The third-party operator's own terms and conditions apply to those services, and Major Travel SA is not liable for any act, omission, loss or injury arising from such third-party services.
14. Limitation of Liability
To the maximum extent permitted by South African law, Major Travel SA's total liability arising out of or in connection with any booking shall not exceed the total amount paid by the Client for the affected service. Major Travel SA shall not be liable for any indirect, consequential or special damages, including loss of profit, loss of enjoyment or missed connections.
15. Privacy
Personal information provided in the course of a booking will be processed in accordance with the Protection of Personal Information Act, 2013 (POPIA), and used only for the purposes of fulfilling your booking and communicating with you about your trip. We do not sell or share your information with third parties for marketing purposes.
16. Complaints
Any complaint should be raised immediately with the driver and confirmed in writing to sales@majortravelsa.com within 7 days of completion of the service so that we can investigate and respond fairly.
17. Governing Law
These Terms & Conditions are governed by the laws of the Republic of South Africa. Any dispute arising shall be subject to the exclusive jurisdiction of the South African courts.
